Exporting Your Data: Reports

Modified on Mon, 9 Feb at 5:16 PM

Sometimes you need to crunch the numbers in Excel, share a raw file with an advertiser, or simply archive your performance data. The Export tool allows you to take your data out of Citadel in the format that works best for you.

1. Configuring Your Export

Once you have filtered your view to show the data you want (see Deep Dive: Filtering above), click the [Export] button located at the top right of the table.

A configuration window will appear with two key options:

  • Format: Choose your preferred file type.

    • CSV: Best for importing into other software or databases.

    • Excel (XLSX): Best for human-readable reports and creating charts/pivot tables immediately.

  • Breakdown: Decide how detailed you want the data to be.

    • Aggregated Totals: (One row per asset) This gives you the "bottom line" numbers—total plays and total duration for each file over the selected period. Perfect for high-level summaries.

    • Day-by-Day / Detailed: Use the dropdown to select granular breakdowns if you need to analyze performance trends on a specific daily basis.

Click the blue Export button to begin the process.

2. Retrieving Your File (The "Exports" Page)

Important: To ensure the system remains fast and responsive, reports are generated in the background. Your download might not start immediately, especially for large date ranges.

After you click "Export," navigate to the Exports tab in the main left-hand sidebar (under the Administration section).

  • Status Check: On this page, you can see the status of your request (e.g., Processing vs. Completed).

  • Download: Once the status shows "Completed," a download button will appear. Click it to save the file to your computer.

Why this way? This workflow prevents your browser from freezing while generating massive reports (like "All Time" history for 500 screens). You can keep working in the portal while the server does the heavy lifting!
